Privacy Policy

1. Overview

WibuGate is a Discord verification and nickname/ID gatekeeping bot. To do its job it needs to keep a small amount of data per server. This policy explains exactly what is kept, what is deliberately never kept, and how it is deleted. By using WibuGate you agree to this policy.

2. Data we store

For each server that uses the bot, WibuGate stores only what it needs to operate the checkpoint:

• Guild settings — your configuration choices: language, audit channel, verified/unverified/submitter roles, nickname formatting (before/after text, ID symbol), sort-by mode, cooldown lengths, trusted roles/users, and mod/role tool settings.
• Discord user IDs — the numeric Discord IDs of members relevant to the checkpoint (for example, members who have an approved ID registered, or pending submissions).
• The numeric IDs approved in that server — the server-unique gatekeeping ID registered to each approved member, so it can be restored, looked up with /checkid, or freed when they leave.
• Cooldown timestamps — when a member last submitted, so submission cooldowns can be enforced.

That is the entire scope. No message content is read or stored beyond the fields members type directly into the verification form (name/ID fields), which are kept only until the submission is processed.

3. Data we never store

• Verification images and attachments are never saved. If /verify-attachment requires an image, it is passed through for the audit channel at submission time and never written to storage.
• No message history, no DM content, no email addresses, no payment information. Premium billing is handled entirely by Discord App Subscriptions; WibuGate never sees your payment details.
• No tracking, analytics or advertising profiles.

4. Per-server isolation

All data is isolated per server (guild). Settings, approved IDs, and submissions from one server are never visible to or shared with another server — even if the same member is in both. Each server's database is its own.

5. Automatic deletion

Data has a short life by design:

• When a member leaves, is kicked, or is banned from the server, their registered ID and related records are deleted automatically and the ID is freed.
• Processed or rejected submissions are cleaned up automatically once the audit action is complete.

6. Manual reset

A server owner can wipe everything at any time with /reset. This erases all of that server's settings and IDs in one action — for that server only. Re-inviting the bot to a server also clears its stored data.

7. No selling data

We do not sell, rent, trade or share your data with anyone. There are no third-party ad networks or data brokers involved, period. The only external systems WibuGate talks to are Discord's API and (for Premium servers that enable it) the Wibuku clan page you explicitly connect with /integration-wibuku.
